License Grant
The Artist grants Hydra Art Walk / Digital Bohemians Club a non-exclusive, worldwide and royalty-free license to use submitted materials for exhibitions, posters, AR experiences, press, social media and promotional purposes.
Ownership & Warranties
The Artist retains copyright ownership of the submitted materials.
The Artist confirms that they are the lawful rights holder of the submitted materials and that no third-party rights are infringed.
Binding Participation
Participation becomes binding once production, promotional work, website publication, graphic preparation or AR integration has commenced.
Withdrawal & Cancellation
Withdrawal after production or launch may result in cancellation and compensation fees.
Post-Launch Changes & Edit Requests
Following the official launch of the Hydra Art Walk website and commencement of public promotion, all submitted materials shall be considered finalized and production-ready.
Small homepage or website text corrections may be included free of charge if they do not require restructuring, redesign or technical adjustments.
Any additional file changes, file replacements, file conversions, image exchanges, audio replacements, updated links, artwork exchanges, layout adjustments or technical updates requested after launch may result in additional administrative and production fees.

If a poster change is requested after the poster has already been printed, an additional poster editing fee applies.

Hydra Art Walk / Digital Bohemians Club reserves the right to refuse excessive, technically incompatible or time-sensitive modification requests.
File Requirements
To ensure smooth production, AR integration and website performance, submitted files should meet the following requirements:
- Images: JPEG format preferred, max. 500 KB per image
- Audio: MP3 format only
- 3D files: OBJ format with textures included
- 3D files should not exceed approx. 6 MB whenever possible
Unsupported, unoptimized or incompatible file formats may require additional technical preparation, conversion or optimization fees.

No Retroactive Removal
Hydra Art Walk / Digital Bohemians Club shall not be obligated to retroactively remove, delete or destroy already published, distributed or archived promotional materials, website entries, social media content, printed posters or exhibition documentation created prior to withdrawal.
Acceptance of Terms
By submitting materials, the Artist confirms that they have read, understood and accepted these terms in full.
These terms shall be governed and interpreted in accordance with the laws of Germany.
